Who we are
Chef Affie (Afzal Kabir), trading as Affie & Co, is responsible for the personal information collected through this website and during catering enquiries and bookings. This policy explains what information we collect, why we use it, who we may share it with and the choices available to you.
Information we collect
We collect the contact details and event information you choose to provide, including your name, email, preferred contact method, phone number where needed, event location, guest count, event type and message. You may also provide dates, catering preferences, an approximate budget, referral source and optional dietary or allergy information. Please do not send card details, passwords, identity documents or unnecessary sensitive information.
How we use your information
We use your information to respond to your enquiry, discuss availability, prepare menus and quotations, administer bookings and deliver your event. We also use necessary information for accounting, record keeping, spam prevention and website security. We do not use enquiry details for an email marketing list.
Dietary and allergy information
Some dietary and allergy details may reveal health information or religious beliefs. Providing this information at enquiry stage is optional. If you choose to include it, we request separate explicit consent to use it to assess and manage your catering enquiry and any resulting booking. You can withdraw that consent by contacting us, although this may affect our ability to safely provide the requested catering. We do not use this information for marketing, profiling or unrelated purposes.
Legal bases
We process enquiry information to take steps you request before entering into a contract, and booking information to perform our catering agreement. We retain relevant records to meet legal obligations and legitimate business and accounting needs. We rely on legitimate interests where appropriate for proportionate spam prevention and security. In addition to an ordinary lawful basis, we rely on explicit consent as the Article 9 condition for special-category dietary or allergy information collected through the form.
Who we share information with
Service providers used to operate our website and communications may process personal information, including Netlify for hosting and form capture, and Google / Google Workspace or Gmail for email. Event staff and suppliers receive information only where reasonably necessary to deliver the booking.
International processing
Where our service providers process personal information outside the UK, we will rely on appropriate safeguards where required.
How long we keep information
We review raw form submissions and aim to remove handled submissions within 90 days unless needed for an active booking, dispute or legal obligation. Enquiries that do not become bookings are normally retained for up to 12 months after the last meaningful contact, unless there is a legitimate reason to keep them longer. Detailed dietary and allergy information is removed when no longer needed for the event or a related complaint or legal issue. Booking, invoice and financial records are retained for the periods required by applicable tax, accounting and legal obligations.
Your rights
Depending on the circumstances, you may have rights to access, correct or erase your information, restrict or object to processing, and receive a portable copy of certain information. You can withdraw explicit consent for sensitive information where we rely on consent. Withdrawal does not affect the lawfulness of earlier processing. Contact us to discuss or exercise your rights.
Cookies and tracking
This site does not use non-essential analytics, advertising trackers, Meta Pixel or newsletter tracking. We do not store enquiry submissions in your browser. If tracking is added later, this notice and any required consent controls will be updated before it runs.
